I am a novice at using a computer - what is the easiest way to get started?
Here is a simple way to get started. First follow the instructions to install the program. Then as soon as you start the program use the HELP button, click the 'All the Basics' and the the 'Getting Started' menu sections and read these items - Setting up the System - Getting Started and Running a Payroll. Now scan all the topics and read any that you think are interesting. Finally remember that there is context sensitive help for every screen. Click F1 to view this help each time to open a new form. Do this until you really understand how it all works. Finally a word of encouragement. The system has been designed to be as easy as possible to use. Get passed the setting up and you will find that it is really easy to run your payroll and will save you masses of time - so invest a little in getting familiar with how it works.

After installing new version the system continues to run the old version?
You have probably installed the program into the wrong folder. You may find you have a nested situation such as C:\PayrollEssentials\PayrollEssentials – check your start up Icon and make sure the program is in the right place. Try searching for PayrollEssentials.Exe and check how many there are!

What username and password do I use to get started?
When you first logon to the system you will be asked for a username and password. The demonstration system is distributed with Passwords option ON. When you first start you will need to use the user name of
admin and password admin. You should replace this user name and password as soon as you start using the system live. This can be done using Setup / Password Change.

How do I Zip my files for attachment to an E-mail message?
1. You need to have the WinZip program to do this. If you don't, you can get it from http://www.winzip.com/. Then install it on your system.
2. Open your Windows Explorer
3. Go to the folder C:\PayrollEssentials\Data
4. Check that the files displayed in the right window seem to be about the program, i.e. several files with names of Audit, BIKAccom, Company, EmploymentPeriod, Expenses, Frequency etc.
5. Now, in the right side of the Explorer screen, press Ctrl + A (Hold down the Control key and press A). This should select all your files on the right hand side.
6. Now right click with the mouse over the selected files and select WinZip and 'Add to Data.zip'.
7. This will create a new file in the same folder called Data.zip. You will find it at the bottom of the list of files.
8. This file can now be sent by attaching it to an email. Right click the Data.zip file and select Send to Mail Recipient.
9. This opens your email service and you can send it with any message.

What is the quickest and easiest way to install the demo?
It is recommended that, unless you are an experienced user, you use all the system defaults offered. This will install your program into the C:\ folder and create shortcuts on your desktop, quick-start and Start | Programs sections.

There is a ReadMe.txt file that you will find in the C:\PayrollEssentials\Admin folder that explains in detail the installation routine.

If you decide, after using the demonstration system, that you would like to buy Payroll Essentials, please select Setup and License details from the menu and use F1 Help, attached to that screen, to guide you through the process.

Once we receive your information, sent automatically from the program, and receive notification from the payment service that your payment has been processed we will send you a Customer Code to unlock your program.

How can I purchase Payroll Essentials?
To purchase Payroll Essentials you must license the program using License Details in the Setup menu and BACS your fee as per our invoice: -

The amount due depends upon the System type selected, the number of active staff you wish to record in the Payroll or for other configurations the number of Pay details required. There are also additional features such as QuickBooks Interface if required.

In order to get your copy of Payroll Essentials correctly licensed you must go to the Setup | License Details menu option and using F1 follow the help provided. When you reach the payment page just close the browser, ignoring the opportunity to make the payment.

The procedure outlined in the help will guide you through and automatically transmits your registration details to our on line registration system. This will enable us to return your Customer Code in order to complete the Licensing process. Your code will be sent by email as soon as your cheque has cleared.

Is it possible to run two copies of Payroll Essentials on one computer?
You can run more than one copy on the same Computer. The system holds the location of the data and therefore each of your copies of Payroll Essentials would need to be separately installed. Special prices are available for multiple installations. You will need some special help in installing a multiple payroll configuration.

I want to renew an existing License, how do I do this?
To renew an existing License go to Setup and License Details on the main menu. From the License Details screen click the [Request Renewal of License] button. The system will take you to the website pricing page where you will find the applicable annual fee for your required system and will also create an email ready to send to Software Essentials requesting the renewal. Upon receipt of this email we issue an invoice. If you wish to change anything about your license please include details in this email but do not make changes to your license data until told to do so.

I want to move my system from an old computer onto a new one. How do I do this?
Your Payroll Essentials program is locked onto your computer by use of a unique code. If you move the system onto another computer you will need to synchronize the Data to the new PC.

To move onto a new computer follow these steps carefully.

Update to latest version
Before you start you must ensure you are running the latest version of Payroll Essentials. Stop anyone using the Payroll and close down the system. Go to the website Download Centre and download and run Payroll Essentials USER UPDATE. Once completed, test your system and make sure you can logon and see your data as before.

Establish Folder locations
Now you must note where certain essential folders are located. Go to Setup > System Parameters and select the Parameters tab. Note the location of the Tax File Folder and the SSC File Folder. Also note the Backup Folder Location and the BACS Files Location if either of these are used.

Start the ITIS Returns Utility and note the location of the Error Report and Output Folders.

Make Backups of folders
Make a backup copy of your PayrollEssentials folder including any sub folders and files. This is located in C:\ if you used the default settings during installation. Otherwise it will be where you chose to install it.

The most important sub folder in the folder is the DATA folder. In order to be sure you are copying the right set of files, make sure that some of the last modified dates of the files are the date that the system was last used.

If not included in the Payroll Essentials folder, backup your Error Report, Output, Tax, SSC, Backup and BACS folders from the locations established above.

Installation on new PC
On the new PC download and run the Payroll FREE TRIAL program (not the user update) from the website. When this is completed and you click the [FINISH] button you must test the trial version and make sure you can start the program. You will not see your own data at this time.

Now you must copy your folders saved above into the same locations on your new PC. If for some reason these locations do not exist then you will need to modify the Payroll setup to point to the new locations.

Copy the backed up set overwriting any the new folders on the new PC. The backed up Data folder must be placed exactly where the Data folder is on the New PC. Do not overwrite the PayrollEssentials.exe program or any other files other than the following folders:

• Data
• Error Files
• Output Files
• SSC Files
• Tax Files
• Backup
• BACS

Synchronizing Data to New PC
Finally log on and when the system reports 'Invalid System Key'. Answer YES to the edit question. Now hold down Shift+Ctrl and press F8. This will display the [RENEW] button. Click the [RENEW] button and answer the prompt. Close the License Details form and start the program as usual.

If you have followed this whole process correctly you should now be ready to run the system on the new computer.

I have a server with terminals - how do I move my existing Payroll onto the new environment?
Firstly read the topic 'I want to move my system from an old computer onto a new one. How do I do this?'. If you have a Server and terminals as your setup then you need to transfer to the new system as follows:
Firstly you only want one copy of Payroll which will be installed on the Server. All the Terminals need to run the Additional Terminal program so that they can work from the Server.

Start by d
ownloading the Free Trial version onto the server and install it there. Place the Program where you will be able to access it with any terminal that will need to run the program. All terminals must have read/ write access.

Then download the Terminal Setup Program (TSP) and save it into the Admin folder on the Server for use on all terminals. This is found in the Business Programs, Payroll Essentials, Downloads & Text section of the Web site.

On each Terminal . . . .
For simplicity m
ap the same drive to the Payroll Essentials folder on the Server. We suggest you use P:\ (for Payroll).

Run the TSP and when asked for the location for installation select the mapped drive (P:\).

Make sure you can run the Trial System from all the terminals and ensure that they are all working on the same Data files. Change a name or something to ensure this is all working correctly. Ensure that the changed names appears the same on all terminals.

Rename the Data folder on the Server to Data Temp. Copy the Data folder from the old installation into the new Server Payroll Essentials folder. Copy all your other folders such as Tax Files, SSC Files etc into the new Server folder.

On each terminal you will need to adjust the Registration so that they can see the Data folder. From one of the terminals send a Request for Renewal (only one please). We will return your new registration code which you need to enter. On all other terminals start the Payroll and alter the registration by holding down Shift+Ctrl and press F8. This will display the [RENEW] button. Click the [RENEW] button and answer the prompt. Close the License Details form and start the program as usual.

If a Terminal needs to be able to make Tax and SSC returns make sure you have the ability to run the program ITS_EmpExe.exe. This is installed in the C:\Program Files\ITAX\ITS_EmpExe folder on the Server or similar

When everything is working correctly you can remove the Data Temp folder.

When updating using Windows 7 I get an Error Message 'Create Process Failed; code 740'.
As there are several possible operating systems which you may be using you can encounter issues d
uring installation.

When using Windows 7 and before the Payroll Data Update Utility is run you may be told that you were unable to execute PayEss_DBUpdate.exe. Create Process failed; code 740. To avoid this error locate the Database Update Utility program (PayEss_DBUpdate.exe) in the
. . . .PayrollEssentials\Admin folder and run it directly from there. Alternatively use UAC set to 'Never notify' (bottom) to avoid this notification during update.

You can also use this link to resolve the problem permanently if you prefer.

For any other errors which you cannot resolve, send an email to support, giving as much detail about what happened, or did not, and at what part of the process.

I want to upgrade my PC which is a terminal on our multi user system. How do I do this?.
On the new computer you must run the Terminal Setup Program. Download this from our website by selecting Business Programs > Payroll Essentials > Downloads & Text > Payroll Essentials Terminal Setup Program. Save this in the server Payroll Essentials Admin folder for future use on other PCs. When you run this program it will ask where your Payroll Essentials folder is located. This is on the server. After selecting the folder on the Server the program will add PayrollEssentials to your selected location - do not let this become nested. During the setup you may be warned that the folder already exists. That's OK - just continue.

When I try to run a Payroll run I get told I can only use a later date. What is happening?
In fact this is not a problem but is the system taking care of you. It seems that you have a pay run in the system which is dated either with today's date or later and the system thinks you have made a mistake.

There are two ways to get round this. Firstly check the list of payroll runs by clicking the Payroll Runs button and check the list to see if a Payroll Run with a Pay Date of today's or later date is showing there. If you don't want it you can delete it. If you do, you can use the option to allow earlier dates. Go to Setup / System Parameters / Options and tick the 'Allow Earlier Dates' parameter.

How can I delete a Payroll Run and reenter it?
If you are using the Close Pay Runs option each Payroll Run will be closed as soon as the next run is started. In order to delete a closed Payroll Run first you must open the run. Go to Setup / System Parameters / Options and tick Allow Open Payroll and Allow Delete Payroll Run. Then on Payroll Runs log double click the run to be deleted. Now click the Open button. Finally close the Pay Run Detail using Close / Save button. Back on the Payroll Run Log you may now click the Delete Payroll button.

The ITIS tax rate has changed. I will need to pay two different tax rates?
Tax Office have confirmed that if an ITIS Rate change notice is dated in the middle of a pay period you may choose to change the rate immediately and apply it to the whole of the current period or you can change it at the end of the current period to apply to the next full period. The choice is yours. If you apply a change in the middle of a month the system will detect that there are two different rates and will complete the ITIS return showing that multiple rates have been used.

Once I have completed a Payroll Run do I have to close it?
No. If you are using the Close Pay Runs option each Payroll Run will be closed as soon as the next run is started. Only if you subsequently open the payroll run will you have to close it when you are finished with any changes you needed to make.

I want to make permanent changes to the Pay run. How do I do this?
To make permanent changes to any of your staff details for all future pay runs the changes must be made in the Staff Detail record. Changes to the hourly rate do not effect previously entered Regular Amounts (you will see a warning to this effect when changing pay rate). Any Regular Amounts that were entered before the change must also be changed if required. Changes made in the Pay Run will only be for that run and will revert to the Regular Amounts for any subsequent run.

Why do the SSC contributions on my old system not agree with the ones in Payroll Essentials?
If the differences are small (1p - 5p), they are probably caused by the rounding method used in your old system. Check the correct level of contributions by using the SSC department tables. Payroll Essentials uses the SSC department method of rounding. Weekly gross pay is rounded down to the nearest 25p and Monthly gross pay is rounded down to the nearest £1. Then the current Employee and Employer deduction rate is applied to this gross pay if the employee is not exempt. In weekly payrolls the SSC is applied to each week individually and the results are totalled for the monthly totals in the quarterly return.

My ITIS has jumped a month. What has happened?
ITIS returns are created for a period during which any payroll run took place. To determine in which ITIS Period a pay run will be included the system uses the Pay Date of the Payroll Run record. The month of the date you enter determines into which period the run will be entered.

I have included an Employee in a Pay run but there is no Payslip, why not?
If you have a record in the Pay details (right side of Pay Run Log) but when you run the payslip report it is not included you have probably set the 'Do Not Print Payslip' parameter on the Pay Detail screen for that employee.

How do I make changes to a closed Pay Run?
If there is a tick in the X column on the Pay Run Log (left side) the Pay Run is closed. If this is the case, go to System Parameters and click [F1] for help. Scan down the text to a section called Options and scan down further for 'Allow Open Payroll'. Then, having turned this ON in the Options, you must go back to the Pay Run Log and double click the Pay Run record (left side) in which you want to make the change and you will then be able to [Open] the Pay Run using the button. Make the change required and finally [Close] the Pay Run record again using the button.

Can I add a new employee to a Pay Run once it is created?
In Help | All the Basics | Special Tools | Function keys there is a function to Add Employee to Pay Run. To do this use Ctrl+A. The Pay Run must still be open (unticked) and the Employee must not already be in the Pay Run. The list on the right is of all the Employees available including those already in the Pay Run. Double click any Employee to add them to the Pay Run highlighted on the left.

Can I EMail payslips to the staff?
With regards to sending the payslips by email the system provides for exporting into a Jpeg file. The second icon on the top row is the Export button. This will exports each payslip as a single document and these can then be email by right clicking and selecting Sent To . . . Mail recipient. If you ever need to send all the Payslips as a single document you can export them as a PDF file.

Can I make our payments via BACS
BACS is a big topic. Each Bank has there own slightly different format of this 'standard'! Try searching the help for BACS and you will find out some of the detailed information. You can produce a simple list for manual input into any BACS system using the [Non Cash Payment] button on the Pay Run Log form. Alternatively if you use RBSI EQ system you can use the system to prepare the necessary file directly.
If you use an automatic BACS system that will accept a file then we can add this format into our system, but we will need to work with your Bank and they will have to receive the authority to do so from you.

Can I delete a single Pay Detail from a pay run
Firstly, if the total of any Pay Detail is zero you can delete the Pay record using the Delete Pay Detail button on the Pay Detail screen. If the record has a value, you will first have to use the System Parameter Option called Allow Delete Pay Detail. This option will be set OFF when you close the Payroll Run Log page. Also read the help provided for the Pay Details screen.

In Pay Details is it possible to enter a gross monthly amount rather than using hourly rates?
On the Pay Details form, on the left side, each of the five sections is divided into four columns. The left one is a description, then Qty, Multiplier and Rate. This allows for great flexibility. If you pay an hourly rate, having select the description, you put the hours into the Qty column and the Multiplier column can be set to 1.00 or any number, such as 1.50 for time and a half, and the hourly rate in the Rate column. If you pay a set monthly rate of 1/12th of the annual salary then you put 1.00 in the Qty and Multiplier columns and the monthly rate (1/12th annual rate) in the Rate column.

Is it possible to get overtime / undertime calculated by reference to the hourly pay rate?
In the Pay Details (double click a Pay Run employee record), when entering the over or under time, you can enter Qty = number of hours or days, Multiplier can be used for time or time-and-a-half etc like 1.33 for time and a third and the rate is either the daily or hourly rate. When the system knows you have finished (click in any other white space ie Deductions) it will calculate Qty x Multiplier x Rate and will recalculate the totals etc. You can use the minus sign before the Qty to give under time and don't forget that the minus is the one on the Numeric key pad.
You can place the Rate in the Hourly rate on the Staff Details record and if you have the parameter set to 'Use Pay rate' it will get the hourly rate automatically. This Parameter is at Setup > System Parameters > Options.

We give additional annual holiday to those who work Bank Holidays. How should we show this?
Assuming you have entered the holiday hours due to each employee on the staff record and that you record holidays as they are taken, you need to alter the basic holiday due to those working on Bank Holidays. To do this you need to edit the Staff Annual Holiday Entitlement on their staff details. At the beginning of each year you will have to reset these Holiday Entitlements back to standard. You might want to add a reminder in the reminder section to do this at the year end.

The staff Address details do not appear on the Form 1B, why not?
The Form 1B is provided as a familiar form but is not actually required to be sent to the department. The electronic return is all that is required. The Address will only appear in the Form 1B in any month that it is entered or changed. This action will turn on the 'Altered' flag adjacent to the Address. This was the requirement specified by the Tax department for the Form 1B. The electronic return always contains the address.

The SSC report only shows the Surname and Initials. Is this wrong?
The Report is only designed as an internal document and is presented in the original SSC manner which required one to show just the Surname and the Initials. The actual return that you send to the SSC department is created in XML format and only contains the Surname and their SSC reference number. Nothing else is required to identify the employee.

When logging on the system says my user is already logged on. What is wrong?
If the system has your password registered as still in use and no other user can log on to the system you can clear all users as follows. Start the system and at the log in screen enter CLEAR ALL in the user name field in upper case. No Password is required. Click OK and this will reset all user records to 'not logged on'. Once this is done you will be able to start the system again, using your normal log on procedure. All other user will also have to log on once more. This method will not Unblock a Password that has been blocked due to three incorrect attempts.

I have just updated to a new version and when I start I get told that a field was not found. Why?
If the first message you get after running an update is, say "txxxxx : Field 'yyyyy' not found", this means that the table txxxxx should have found a field called yyyyy and the system cannot find that field. It is most probable that you have not run the Payroll Data Update Utility at the end of the Update process. Re-run the Update and be sure you click the big button in the middle of the Utility before closing that form.

I have been blocked from accessing the Payroll. What should I do?
If you enter the password three times incorrectly the system is designed to block that user access. To regain access you must ask someone else with access to 'unblock' you user. If you have forgotten your password you will also need to ask them to reset you password. Read the help on these topics. If you are the only user you will need to seek support to regain access. EMail to support telling them of your predicament and they will tell you how to regain access.

When I try to run the Returns Utility nothing happens! What is wrong?
When you try to run the Returns Utility you must not click anything, after the two comments, until it appears. If you do you will put something else in front of it and therefore it will be hidden. Have a look at the Task bar to see if your utility icon (with a black curved arrow) is shown. If so you can click it to launch it.

If it is just not starting and is not on the task bar then you have your setup wrong. First check that you have the program installed as follows C:\Program Files\ITAX\ITS_EmpExe\ITS_EmpExe.exe (for Jersey) and C:\Program Files\Mitek Systems Ltd\Returns Creator\RCFileEncryt.exe (for Guernsey) - it may not have the .exe depending on your system setup. If it is there you can double click and check it launches. If not it has not been set up correctly.

If it is there, go back into the Payroll and select Setup > System Parameters and then the Parameters tab and check that the Returns Utility File Location is set correctly. If not, use the Browse button to set it. If it is, try closing the System Parameters and click the Returns button, then click the two messages to clear them and wait to see the Returns Utility appear.

When do the Staff Yearly Totals get calculated?
These Totals are calculated when the Payroll system detects that the Year of the Pay Date of the most recent Pay Run is greater than the Year of the Pay Date of the previous Pay Run.

For this reason, if you are running more than one Payroll in a Company, such as Weekly and Monthly Payrolls, it is important to remember that you must have completed all the Pay Runs for the previous year before running any Pay Run with a Pay Date in the new year.

In all but exceptional cases, this is what you would do anyway so it should not be an issue. .

How do I know if my ITIS or SSC file have been sent?
When you create the file using the [... XML File] button on the ITIS or SSC Payment forms the system saves a file in the Tax or SSC File Folder defined in System Parameters. To send this file you use the [Returns] button on the main screen. When you have sent the file (see help - All the Basics / Employer Returns Utility) successfully the Employer Returns Utility (ERU) places your lodgement reference in your Output Files folder using the same file name as your XML file. If this lodgement reference exists you have dispatched the file correctly. The location of your Output Folder is defined in the ERU.

I can only see the recent pay runs in the list. How can I see earlier runs?
A feature has been added to speed up the display for larger payrolls. Most users only need to see the last x days of payrolls. There is a parameter in System Parameters on the Parameters tab which defines the number of days to be displayed. Just increase or decrease this as necessary.

I use Average Use licensing. It just said there was insufficent license to run the payroll, why?
This is how we calculate the usage before a pay run. Each employee included in a Weekly run counts as 1 and each included in a Monthly run counts as 4.33. When we calculated your requirements we used an average estimate. If we use one of 15 staff x 4.33 x 12 = 780. When that runs out you re-register. There is a report you can use on the System Parameters on the System tab which is run by using the Count Report button. This will let you examine the number included in each pay run.

If you think you have not used as many as it reports it is possible that you have included some employees who were not actually paid. The system will still count these as a pay detail record. You can remove these during each run or by going through each pay run and deleting them by double clicking the pay detail record and displaying the Pay Detail form. If it is zero then the Delete Pay Detail button will be active and you can delete the record.

I have prepared my Tax XML File but find I had not run my Monthly payroll. What should I do?
You can run the monthly pay run and the Tax XML File routine will include it when you re-run it. Each time you run the Tax XML File routine it creates a new file because it saves the date on which you create it in the file name (see help). If you have not sent the previous file and the system sees you have already created one it will ask if it is Original or a Replacement - this is referring to whether you are replacing one that has already been sent. You would say Original if you have not sent the one previously created.

I have more than one XML file in my folder for the same Payrun. What should I do?
If you have two or more XML tax files for a period that is not a problem. Usually you should delete the oldest ones using Windows Explore. When viewing them you should display with details and then note the Date time of the files and click on the one to be deleted and click Delete. You can always check if or when files have been sent by looking in the Output Files folder. You will see the long file name, the same as the Pay run file name with a .lodgRef extension. Once an XML file has been sent to the Tax Office it is of no real value as they can be recreated if you ever need them again.

How do I make my SSC Retrurn?
When you have completed all the Pay Runs for any SSC quarter go to SSC Payments form by clicking the [SSC] button on the Main screen. Select the Tab for the frequency for which you wish make your return, finally check that all pay records for that frequency and period are included and click the XML button. Note the filename and location of the return saved. Now click the [Returns] button and select the file, just saved, so that the full path appears in your top field. Click OK to send. A common misunderstanding is that the SSC return is made when you send your ITIS return - THIS  IS NOT TRUE. It must be sent seperately each quarter.

The Tax Office tell me I am sending the same return each month. What is happening?
The problem is that you are not changing the XML File name in the Employers Return Utility. This utility was created by the Tax Office but when you use it the XML Filename is always displayed as the last file you sent to them. If you do not change this each time the utility will continue to send the same file. Remember to change the XML File to the one you have saved in the ITIS Payment routine or the SSC Payment routine.

Each month, after you have run all your weekly and monthly payrolls, you go to the ITIS Payment form and click the Tax XML File button and note the filename and location where it is saved. Then click the Returns button and be sure to change the XML File to the one you have just saved and noted above. To select the correct file use the button with three dots, which is to the right of the filename, to navigate to the required file.

The Tax filename for Jersey is in the following format:
EB7201_01200903PAY200904010901.XML where the potion coloured red shows the year and month – this example is for March 2009. The Blue 'Pay' identifies this as an ITIS file which is followed by the dates and time it was created.

The Social Security file format for Jersey is as follows:
I0042_2009A1SOC200904010903.XML
In this case the quarter shown in red is 2009 Qtr A and the blue 'SOC' identifies this as a Social Security file, followed by the dates and time it was created.

My SSC Returns show different amounts to those demanded by the Department. Why is this?
There is a number of ways in which Social Security approaches rounding of Earnings and Contribution figures. This is particularly evident for weekly paid employees where Gross Earnings are rounded down to the nearest multiple of 25p before calculating Contributions as per the Department’s Contribution Tables.

These rounded down figures are then added before being truncated (to show whole pounds) to give the Employee’s Gross Earnings for the month that the Employer reports on the quarterly returns.

Consequently, because the Department calculates Contributions based on the whole figures only, as reported, there will generally be a difference between the figure Employers are required to deduct (as per the Contribution Tables) and the figure the Department will demand of Employers. We have discussed this in detail with the Department and this is not an error.
